Job Overview:  The position of Executive Assistant is responsible for supporting the Vice President/General Manager in a wide range of administrative and executive support related tasks. This position is responsbile for heavy calander management requiring interaction with both internal and external executives, assistants, and consultants, to coordinate a variety of complex executive meetings.

Job Responsibilities:

  • Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings.
  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently. Assist VP/GM with preparation of presentation materials.
  • Communicate and handle incoming and outgoing communications on behalf of the VP/GM. Assist sales department's digital initiatives.
  • Ability to organize company events.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner. Assist various departments as needed.
  • Complete other duties as assigned.


  • Minimum of 5 year's administrative assistant experience preferred and/or previous experience working with senior executives preferred. Ability to handle sensitive materials & confidential situations and maintain the highest level of ethics.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook including experience assisting management with the creation of PowerPoint presentations. Expert level of written and verbal communication skills, strong decision making ability and attention to detail with the willingness to take initiative are equally important. Experience successfully creating and/or modifying processes.
  • Must work well under pressure to meet deadlines.
  • Experience in scheduling travel arrangements for management. Experience with social media.
  • Strong organizational, interpersonal and customer skills with the ability to deal with all levels of the organization as well as the ability to work as part of a team. Professional in appearance and a can-do attitude are a must, and the ability to work late & overtime when needed.
  • Bachelor's degree preferred.
  • Must have a valid driver's license and a safe driving history as determined by the Company. Driving record will be checked.

Physical requirements

Sit for extended periods of time. Ability to communicate in English both verbally and in writing. Ability to hear and speak clearly. Dexterity to manipulate computer keys and general office equipment, including multi-line telephone. Ability to prepare reports, business correspondence, and business proposals. Requires the ability to think quickly and critically as well as analyze and articulate information in clear, concise manner to others.
